    PopShorts is looking for an experienced Administrative Assistant to support a dynamic team at our agency in Newport Beach, CA. The applicant should demonstrate professionalism, organization skills, and effective communication skills. The main objective would be to coordinate our executive leaders’ activities while displaying a high level of integrity and discretion in handling confidential information. The individual should have heavy calendaring, travel, and expense reporting experience but most importantly be able to multitask. Individual work will ensure the optimal use of their time and facilitate their communication and information exchange.

    Responsibilities:
    – Organizing and planning out calendars and meetings for all team departments
    – Arrange travels and accommodations while saving and creating reports
    – Complete tasks and projects efficiently with little to no guidance
    – Assist with general operations as required or needed
    – Ability to react with appropriate urgency to situations that oblige a quick turnaround

    Requirements

    – Must have 2+ years of experience supporting senior leadership, preferably in an advertising agency setting
    – Excellent written and verbal communication skills
    – Ability to anticipate issues before they arise and find a solution
    – Superior organization skills and uncanny attention to detail
    – Identifying emerging platforms and trends to drive innovation
    – Experience in event management and partnership
    – Fast learning skills and the capability of adapting to changes
    – Proficiency in Microsoft Excel, Google Sheets, and Microsoft Powerpoint
